Use one controlled terms schedule
Identify the legal employer, job title, sector or verified subsector, worksite, contract duration, probation if applicable, normal hours, shift pattern, rest arrangements and pay cycle. Give the schedule a version and approval date so the demand letter, interview script, candidate explanation, contract and receiving brief can be compared against the same source.
Separate every pay and benefit field
A headline monthly amount is not enough for informed acceptance. Record the basic salary, any role or shift allowance, overtime basis, rest-day or public-holiday treatment, productivity component, payment method, pay date and the evidence that supports each field. PSFM does not publish a fixed Malaysian salary because the verified employer role and current legal terms must control the figure.
| Field | Employer must state | Evidence check | Candidate explanation |
|---|---|---|---|
| Basic salary | Amount, currency and pay period | Approved demand and contract match | What is fixed before additions or deductions |
| Working time | Normal hours, days, shift and breaks | Roster is operationally feasible | When normal work begins and ends |
| Overtime | Eligibility, approval and calculation basis | Current rule and payroll method checked | Overtime is not a guaranteed volume |
| Deductions | Purpose, authority, amount or method and duration | Lawful basis and payslip visibility | No undisclosed payment or broker debt |
| Benefits | Accommodation, food, transport, insurance and PPE | Actual plan, capacity and responsible owner | Cash, in-kind and conditional items are distinct |
Test the shift and overtime model
Map normal production or service coverage, rotation, weekly rest, peak demand, transport and accommodation access for each shift. Distinguish planned coverage from overtime that may or may not occur. The employer should explain approval, recording and payroll controls; recruitment copy must not inflate possible overtime into guaranteed earnings.
Document deductions and worker-paid items
For every proposed deduction or candidate-facing cost, record the responsible party, lawful or contractual basis, recipient, calculation method, start and end condition, receipt or payslip evidence and dispute route. Reject blank deductions, personal-wallet payments and arrangements that appear only after selection. Any current official limit must be rechecked before use.
Verify accommodation, food and transport as real benefits
State the accommodation address or approved plan, capacity, utilities, any charge, food or allowance arrangement, and transport route for every shift. A free accommodation label does not prove habitability or access. Peninsular guidance and the actual state jurisdiction must be checked, with Sabah and Sarawak treated according to their applicable requirements.
Explain the contract before consent
Provide the candidate with understandable terms and time to ask questions before signing. Confirm employer identity, role, worksite, salary, overtime basis, deductions, benefits, safety duties, document handling, grievance contacts and termination conditions. Do not ask for a signature on blank pages or use a summary that conflicts with the full contract.
Run a four-document consistency check
Compare the employer demand or job schedule, recruitment briefing, candidate-signed contract and receiving or payroll setup. Resolve differences in entity, role, location, pay, hours, deductions and welfare before mobilisation. Store the approved version, reviewer, date and correction record instead of silently replacing a document.
Control changes and grievances
If a term changes, identify the reason, authority, effective date and affected candidates; assess whether re-approval is required and obtain informed acceptance where lawful. Give workers a non-retaliatory channel to question wages, overtime records, deductions, accommodation or document access. Contract verification does not guarantee quota, visa, travel or deployment.

Open original sourceEmployer Questions
Common recruitment questions
Does this guide confirm an active Bangladesh intake route?
No. The public status remains Announced until an implementing authority publishes an active route, effective date and actionable process. General Malaysian employer rules and individual approvals do not by themselves prove a market-wide operational intake.
Can PSFM guarantee employer approval, quota, VDR, visa or worker arrival?
No. Those decisions are controlled by the relevant Malaysian and Bangladesh authorities, the employer's eligibility, the candidate's eligibility and the official process in force.
What should an employer record during verification?
Record the source URL, publishing authority, document date, effective date, company identity, sector or subsector, worksite, named responsible person and the next review date. A screenshot or forwarded message is not a substitute for the original source.
