Define the warehouse flow
Describe receiving, put-away, replenishment, picking, packing, staging and dispatch interfaces. Record product type, storage conditions, shifts, access and the systems or paper records used.
Build a location and quantity test
Use safe sample codes, locations and quantities to assess instruction following, count accuracy and confirmation. Score error detection and correction rather than encouraging candidates to guess.
Check product condition
Present examples of damaged packaging, wrong labels, expiry concern, leakage or temperature issue relevant to the operation. Define when the worker must segregate and escalate.
Manual-handling control
State typical weights, team-lift rules, aids, stacking limits, walkways and PPE. The assessment must not expose candidates to uncontrolled lifting or use fitness assumptions unrelated to the task.
Equipment boundaries
Separate scanners, pallet jacks, conveyors, forklifts and vehicles. Record what the role may use independently, after training or not at all; a general helper title cannot authorize powered equipment.
Contract and sector verification
Confirm roster, overtime basis, transport, accommodation, salary, deductions and worksite. Verify the employer's activity, service or other sector classification and occupation before recruitment begins.
Role-control matrix for employer approval
Use this matrix to align operations, recruitment and the assessment panel before any candidate invitation. Replace the examples with the employer's verified worksite evidence and retain the approved version with the manpower brief.
| Warehouse gate | Employer sample | Candidate evidence | Boundary |
|---|---|---|---|
| Location/quantity | Safe SKU, bin and quantity exercise | Finds, counts and confirms accurately | No guessing when a location or item is missing |
| Condition | Representative damage, label or expiry issue | Segregates and escalates | Rejected product is never returned silently |
| Handling | Weight, route, stacking and aid rules | Uses safe lift and protects walkways | Assessment avoids uncontrolled heavy lifting |
| Equipment | Scanner, pallet jack and powered-device matrix | Uses only authorized equipment | Forklift or driving is not hidden in helper duties |
Evidence the employer should provide to PSFM
The recruitment desk needs operating evidence, not only a role label or headcount. These inputs let PSFM build a shortlist and interview pack without inventing duties, conditions or approvals.
- Warehouse flow and worksite map covering receiving, storage, picking, packing, staging, dispatch and restricted zones.
- Representative location, product, quantity and condition samples for an accuracy-first practical assessment.
- Manual-handling profile with typical weights, team-lift rules, aids, stacking limits, PPE and pedestrian controls.
- Equipment authorization, system or paper-record expectations, shift roster, transport and accommodation plan.
Go/no-go questions before sourcing starts
HR, operations, safety and the authorized signatory should resolve these questions together. An unresolved critical control means the demand remains in preparation rather than moving to candidate communication.
- Does the role belong to the employer's verified activity and current sector or subsector route?
- Will accuracy, condition and escalation be scored before speed?
- Are powered-equipment and vehicle duties excluded unless separately approved and assessed?
- Can the employer explain how workers report inventory errors without pressure to conceal them?

Common recruitment questions
Can a warehouse helper be assigned forklift duties after selection?
Not automatically. Powered-equipment duties require the employer's verified role scope, competency process, authorization and any applicable legal or site requirements.
Does this planning guide confirm that the role is currently approved or available?
No. It is an employer planning guide. The employer's activity, sector or subsector, occupation, quota position and active recruitment route must be verified with the responsible authorities before sourcing or vacancy communication.
What should a Malaysian employer send PSFM before candidate screening?
Send the legal company details, Malaysian worksite, verified sector or subsector, role descriptions, headcount, assessment criteria, salary and overtime basis, shifts, accommodation, transport, benefits, contract duration, interview method and target timeline.
Does PSFM guarantee a worker, quota, visa, salary, travel or deployment date?
No. PSFM coordinates employer-demand review and recruitment readiness only. Every outcome remains subject to verified demand, candidate suitability and the Malaysian and Bangladesh requirements and approvals in force.
