Map stations, not just total headcount
List the product, line, station, cycle, skill level, quality check and staffing need for each shift. Separate operators, assemblers, packers, material handlers and machine helpers where tasks and hazards differ.
Define the handover minimum
Specify output status, work-in-progress, defects, stoppages, changeovers, material shortages, safety isolations and supervisor sign-off. Interview scenarios can test whether candidates recognise what must be communicated before leaving a station.
Keep machine boundaries explicit
State who may start, load, adjust, clean, clear jams, maintain or isolate equipment. A helper role must not silently inherit maintenance or operator duties that require different assessment and authorization.
Test quality escalation
Use examples of incorrect labels, damaged parts, contamination, missing components or out-of-tolerance measurements. Score the candidate's ability to stop, segregate, report and preserve traceability rather than rewarding speed alone.
Plan transport and rest
Confirm worker transport for every shift, accommodation travel time, rest opportunity, meal access and emergency contact. Night or rotating rosters should be reflected in the written employment terms before acceptance.
Control roster changes
Identify who approves overtime and roster changes and how workers receive notice. Recruitment communication must not convert a conditional production plan into a guaranteed number of hours or take-home salary.
Role-control matrix for employer approval
Use this matrix to align operations, recruitment and the assessment panel before any candidate invitation. Replace the examples with the employer's verified worksite evidence and retain the approved version with the manpower brief.
| Shift control | Employer input | Candidate evidence | Escalation trigger |
|---|---|---|---|
| Station readiness | Product, cycle, work instruction and staffing plan | Explains preparation and first-piece checks | Station or role is not defined |
| Handover | Required WIP, defect, stoppage and isolation record | Prioritises safety, quality and missing information | Critical status is passed verbally without record |
| Machine boundary | Authorized start, load, adjust, clean and isolate duties | Stops outside assigned authority | Helper is expected to clear or repair unsafe faults |
| Roster | Shift, rest, transport, meals and overtime process | Demonstrates informed acceptance | Roster contradicts demand or contract |
Evidence the employer should provide to PSFM
The recruitment desk needs operating evidence, not only a role label or headcount. These inputs let PSFM build a shortlist and interview pack without inventing duties, conditions or approvals.
- Line and station map identifying product, task cycle, headcount, machinery exposure and quality responsibility by shift.
- Shift-handover template covering output, WIP, rejects, stoppages, changeover, material shortage and safety isolation.
- Machine authorization matrix showing duties allowed independently, after training and only for maintenance or supervision.
- Roster, transport, break, meal and overtime plan aligned with the salary and employment-term schedule.
Go/no-go questions before sourcing starts
HR, operations, safety and the authorized signatory should resolve these questions together. An unresolved critical control means the demand remains in preparation rather than moving to candidate communication.
- Can the employer identify the exact station and supervisor for every requested worker?
- Does the interview test defect escalation and safe handover instead of rewarding output alone?
- Are night and rotating-shift transport arrangements workable from the proposed accommodation?
- Will roster changes follow an approved notice and overtime process rather than an informal promise?
